We are committed to protecting your privacy and handling your personal information responsibly. This Privacy Notice explains how Regain Therapy collects, uses, stores, and protects your personal data when you contact us or use our services.
This notice applies to all personal data provided by current and prospective clients from the initial point of contact through to the conclusion of therapy, and for the retention period thereafter. Throughout this notice, "you" refers to any individual whose personal data we collect, hold, or process.
We will only use your personal information for the purposes for which it was provided and in accordance with applicable data protection legislation.
Data Protection
Although Regain Therapy does not process personal data on a large scale, we collect and process personal information where necessary to provide our therapeutic services.
We comply with all applicable UK data protection legislation, including:

Regain Therapy also adheres to the Ethical Framework published by the British Association for Counselling and Psychotherapy (BACP), including its principles relating to client privacy and confidentiality.
What Information We Collect and How We Use It
When you contact Regain Therapy, you will be asked to provide contact details and other relevant personal information to enable us to respond to your enquiry and arrange an initial appointment.
The lawful basis for processing this information is contract, as it is necessary to take steps at your request before entering into a therapeutic agreement and to provide the services you have requested.
During the course of therapy, we may also collect:
Personal data, such as your age, gender, occupation, and contact details.
Special category data, where relevant to your therapy, such as information relating to your health, ethnicity, religion, or sexual orientation.
This information is collected only where necessary to provide appropriate therapeutic support.
Retention of Your Information
Following the conclusion of therapy, we retain your records under the lawful basis of legitimate interests.
Client records are stored securely for seven (7) years after therapy ends. This retention period reflects professional guidance, insurance requirements, and legal obligations. At the end of this period, your records will be securely destroyed using confidential disposal methods.
Clinical Supervision
To ensure that I provide a safe, ethical, and effective service, I undertake regular clinical supervision.
During supervision, I may discuss aspects of our therapeutic work. However, I do not disclose any information that could identify you personally. Your name and any identifying details are removed or anonymised wherever possible.
My clinical supervisor is also bound by UK GDPR requirements and the same professional standards of confidentiality.
Confidentiality and Its Limits
Everything discussed during therapy is treated as confidential. However, there are circumstances where Regain Therapy has a legal or ethical duty to share information with the appropriate authorities.
This may occur where:
There is a serious risk of harm to yourself or another person.
We believe that a child or vulnerable adult is at risk of abuse or neglect.
We are legally required to disclose information by a court or other lawful authority.
Information is disclosed regarding a proposed act of terrorism or another serious criminal offence.
We receive a Court Order or a request from a Coroner requiring the release of client records.
Wherever possible, and unless doing so would increase the risk of harm or be prohibited by law, we will discuss any necessary disclosure with you before sharing your information.
Other than the circumstances described above, your information will not be shared with any individual or organisation without your consent.
Professional Executor
In the event of my sudden illness, incapacity, or unexpected death, I have appointed a Professional Executor.
The Professional Executor is a qualified therapist who is bound by the same professional and ethical standards of confidentiality. They will only access your contact details if necessary and solely for the purpose of informing you of the situation and discussing appropriate onward arrangements for your care.
How Your Information Is Stored
Regain Therapy takes appropriate technical and organisational measures to protect your personal information against unauthorised access, loss, misuse, or alteration.
Electronic personal data is stored on an encrypted, password-protected external hard drive, which is kept securely in a locked filing cabinet.
During our work together, I keep brief, factual session notes. These notes do not contain unnecessary personally identifiable information and are stored separately in handwritten form within a locked filing system.
Electronic Communications
Text messages and mobile phone communications are protected by password security.
Email correspondence is not encrypted unless you specifically request encrypted communication and provide consent for us to communicate in this way.
Please be aware that standard email is not a fully secure method of communication. While Regain Therapy takes reasonable steps to protect its systems and communications from viruses and other security threats, we cannot guarantee that electronic communications will always be free from viruses or other harmful components.
Your Rights
Under UK data protection legislation, you have the right to:
Request access to the personal information we hold about you.
Request that inaccurate or incomplete information is corrected.
Request the deletion of your personal information where appropriate.
Restrict or object to certain types of processing.
Request a copy of your personal data.
Withdraw consent where processing is based on consent (this will not affect the lawfulness of processing carried out before consent was withdrawn).

If you do not wish your records to be retained for the seven-year period outlined above, you may submit a written request asking for their earlier destruction. Any request will be considered in accordance with our legal, ethical, professional, and insurance obligations.
